When to Book a Dormitory for the Academic Year — A Month-by-Month Calendar
March, June, August, September — when popular properties close bookings. A booking calendar + what to do if you miss the deadline.

The best private dormitories in Poland — especially in Warsaw, Kraków and Wrocław — fill up months in advance. Students who go looking for a place in August often find only the leftovers.
This guide gives you a booking calendar + a plan B for latecomers.
The optimal booking timeline

Why book early
1. Choice of room type. Single Studio with a private bathroom = the most popular. The first to sell out. Twin Studio (shared) = the last.
2. Choice of location. The best locations (Wenedów Powiśle Warsaw, Studio Mokotów, AGH Kraków Krowodrza) — booked up in May.
3. Price. Some operators run an "early bird" — discounts of 5–10% for early booking (by the end of March / April).
4. Peace of mind. No stress in August, when the rest of the students are panicking.
Per operator — when they close
Student Depot (Kajima):
- Most popular properties (Warsaw Suwak, Kraków Al. Pokoju): sold out in May–June
- Less popular ones (Łódź Wigury, Lublin): slower, availability into July
Basecamp by Xior:
- Premium standard, high demand
- Warsaw Wenedów, Kraków, Wrocław: closed in May
- Łódź, Katowice: availability into July
LivinnX:
- Warsaw Praga-Północ (650 beds), Kraków Zabłocie (290 units): sold out in June
- Requires a 12-month contract — often booked 6 months in advance
StudentSpace Kraków:
- New properties from 2025, high demand
- 12-month contract, booked 4–6 months in advance
Lesser-known operators (Hussar Loft Szczecin, The Eagle Poznań, Akademik Praski):
- Greater availability, you can book even in August
- Fewer spaces, but less competition
Plan B — what to do if you're booking late
If it's August and you still haven't booked anything:
1. Check less popular locations. Mokotów in Warsaw full? Check Praga-Północ (LivinnX). Old Town in Kraków taken? Look at Prądnik Czerwony (StudentSpace 29 Listopada).
2. Accept other room types. Single Studio sold out? Twin Studio (shared) and Shared Mezzanine are cheaper and often available. You can try to move to a single later.
3. Consider a university hall. In August the committee may have spaces free after dropouts. Check with the administration.
4. A shorter term. Some operators offer a semester contract in exceptional situations — check.
5. Holiday hostels / hotels. For 1–2 weeks in September while you search for a long-term place in parallel.
Late availability — your chance in September
The first two weeks of September often have spaces free, because some students who'd booked drop out at the last minute (a change of university, health issues, financial problems).
Monitor operators' websites daily — "available now" rooms sometimes appear.
What to do in July if you're booking
Step 1: Verify availability on the operator's website.
Step 2: Fill in the online form. Most operators reply within 24h.
Step 3: Make a provisional booking (usually with a booking fee of PLN 200–500). This gives you 1–2 weeks to sign the contract.
Step 4: Sign the contract and pay the deposit / first month's rent.
Step 5: Receive your check-in instructions (date, time, contact).
What to verify before confirming a booking
- The property's exact address and the room type
- The monthly price (does it include utilities?)
- The contract length (10 months or 12 months?)
- The deposit and booking fee
- The early-termination clauses
- The check-in procedure (who, when, where)
- The administration's contact details
For parents helping their child
Common situations:
- Your child doesn't yet know which university they'll get into — book in two cities (a small booking fee in each)
- Once admission results are in — cancel one booking (typically the fee is refunded if done in advance)
- Check that the contract is in your child's name (an adult) — operators require 18+

The best plan: book in May for popular properties + locations. That gives you access to the best standard and locations, plus often "early bird" discounts.
Late bookings (July, August) usually end in compromises — a worse location, a worse room type, or higher prices.
